Working Collaboratively

Windows® SharePointTM Services lets you create a central location where coworkers, partners, and customers can share issues, contacts, announcements, Web links, and calendars. Team members can easily create workspaces for meeting discussions, surveys, documents, task lists, and other collaboration needs that increase their productivity

Site users with "create sub-site" rights and administrators can generate a Document Workspace site from any compatible Office program (Microsoft Word 2003, Microsoft Excel 2003, or PowerPoint 2003) or by using a browser to access a Document list in the SharePoint site. Users that have no Office programs installed can still view documents using viewers provided by Windows SharePoint Services

SharePoint sites include built-in lists for sharing information, tasks, contacts, and announcements. Users can also create custom lists for unique information. With the help of a compatible Windows program (such as Microsoft Office Professional 2003), Windows SharePoint Services will import in columnar form spreadsheet data that team members can directly edit, sort, filter, add to, or delete. To import data from a spreadsheet, you must have a compatible spreadsheet program such as Microsoft Office Excel 2003 or Internet Explorer 5

A SharePoint Page (for example, a site's home page) consists of Web Parts and can appear in either shared or personal view. In shared view edited by an administrator or users with specific permission rights, all users see the same page and same changes.

In personal view, only the user making changes to Web Parts can view them; for example, if a user changes the height and width of one Web Part, closes another, adds a third, and deletes a fourth, the changes apply only to their view of the page.

 

Administrative Site and User Management

Windows SharePoint Services will assist site administrators in the following areas:

Block specific files from document libraries to prevent suspicious files from being uploaded to the server

Link a document library with a public folder based on Microsoft Exchange 2000 (or later version) to store documents attached to e-mail messages

Add users to a site and allow access to specific sub-sites

Specify permission to allow only specific users  to change a list

Support regional settings such as language, time zone, currency type, and international calendar formats

You can view information to determine how many users visit each site. You will receive notification if your site has been inactive for a specified period. If you receive multiple notices and the site remains inactive, the administrator can automatically delete the site. We provide storage space usage and allocation information, and we notify the site administrator of available space.

Support for Managing Unused Site


Inactive sites occupy space on your server/account. Sites become inactive for many reasons; e.g., it was a trial site or the project was completed. By establishing a time limit for inactive accounts, you can automatically provide site owners with a confirmation link to confirm that their sites are in use, or you can automatically delete unconfirmed sites. This feature lets administrators control the number of unused Web sites on your server/account.

 

Page and Site Customization Using Web Parts and a Browser

By using built-in Web Part features, administrators can easily customize their home page and Web Part Pages. A Web Part is a modular unit that forms the basic building block of a Web Part Page. Available when you create your SharePoint site, it gives you convenient, organized lists, images, and text. You can create dynamic informational portals by adding, configuring, and connecting Web Parts to Web Part Pages. By using a Web browser, you can change the picture or add a view of a list on your home page.

 

Customization Using Themes and Templates

Using themes that simplify customization, you can change the appearance of your site. A theme is an integrated set of design elements that provide the colour scheme and fonts for your SharePoint site. You can easily change the site's theme to fit your organization or team personality.


Templates will help your site maintain a consistent look, and you can use them for libraries, entire sites, or individual lists. Saving lists as templates allows you to reuse them or distribute them to other sites. Your Web Parts, list templates, and site templates can be stored in libraries for use by all sites
